The Three Pillars: Understanding the Technology

Before picking a model, you must decide which of the two primary printing technologies you need:

  • Direct Thermal (DT): Uses heat-sensitive paper. No ribbon or ink is required. It’s simple and cost-effective but the labels fade over time (especially in sunlight or heat). Best for: Shipping labels and receipts.
  • Thermal Transfer (TT): Uses a ribbon to melt “ink” onto the label. These labels are permanent, smudge-proof, and can withstand chemicals or extreme temperatures. Best for: Asset tags, product labels, and long-term storage.

Which one should you choose?

If you are stuck, use this Rule of Thumb:

  1. Under 500 labels/day: Get a ZD421. It’s the safest bet for almost any small business.
  2. Over 1,000 labels/day: Step up to the ZT231. Desktop printers will burn out their motors if you push them this hard daily.
  3. On the move: If you need to label things while walking through a warehouse, the ZQ620 is the gold standard for reliability.

Pro Tip: Always check if the model is Direct Thermal (D) or Thermal Transfer (T). For example, a ZD421D cannot use ribbons, while a ZD421T can do both.
